  • Use our mobile application ("hiRobin" or the "App")

  • Engage with us in other related ways, through WhatsApp, voice calling, or using our application to execute any tasks on your behalf

AI Data Use and Third-Party Sharing Policy

This section explains what data we collect, how we use it to provide AI features, and when we share it with third-party AI model providers to complete tasks you request.

Data We Collect

We collect and process the following data when you use the product:

  • User-provided content: Any information you enter or share, including text, form inputs, prompts, and files you upload.

  • Call context: Any call context you provide (for example, agenda, participants, notes, or related documents).

  • Call outputs: Transcripts, summaries, action items, and other AI-generated outputs created during or after calls.

How We Use Data

We use your data to:

  • Provide AI-assisted responses, call summaries, and related features you request.

  • Complete tasks you initiate (for example, drafting, extracting, organizing, or transforming information).

  • Maintain and improve service reliability, security, and debugging (for example, to investigate errors or abuse).

Third-Party AI Services

To provide AI functionality, we may share relevant user-provided data with third-party AI model providers acting as our service providers/processors, including:

  • Google

  • OpenAI

  • Anthropic

Purpose of sharing: We share data only to the extent necessary for task completion and AI feature delivery (for example, generating a summary, extracting structured fields, or drafting content).

What we do not do:

  • We do not sell your data.

  • We do not share your data for advertising or ad measurement.

  • We do not request that AI providers use your content to build advertising profiles.

User linkage: We aim to minimize identifying information shared with model providers. Where feasible, we send only the content required to perform the task and avoid sharing direct identifiers. Any identifiers required to deliver the service (for example, an account or workspace token) are used only for service operation and not for advertising.

Protection and safeguards: We require third-party AI providers to implement equal or stronger safeguards than ours through contractual and technical controls, which typically include:

  • Confidentiality obligations

  • Security measures appropriate to the sensitivity of the data

Data minimization: Please avoid sharing sensitive personal information unless it's necessary for your task.

Your Control

You can revoke AI consent anytime in Profile. When you turn this off, we stop sending new data to AI providers for AI processing, unless you log in by explicitly giving us permission to share data. Revoking access will have the same impact as deleting your account.

To execute tasks on your behalf, we may share relevant portions of your personal data with third-party AI service providers (such as OpenAI, Anthropic, Google, and other AI model providers). We share data on a strict need-to-know basis — only the minimum information required to complete your requested task is transmitted. We will always ask for your consent before sharing your data with these services. You may opt out at any time, and sharing ceases immediately upon your request.

In what situations and with which parties do we share personal information? We may share information in specific situations and with specific third parties, if needed for execution of the assigned task.

How do we keep your information safe? We have organizational and technical processes and procedures in place to protect your personal information. However, no electronic transmission over the internet or information storage technology can be guaranteed to be 100% secure, so we cannot promise or guarantee that hackers, cybercriminals, or other unauthorized third parties will not be able to defeat our security and improperly collect, access, steal, or modify your information.

Can you delete your account and data? Yes. You can request deletion of your account and all associated data at any time by contacting us at hello@robinhome.ai or through the account deletion option in the App. Upon deletion, we will remove all mappings between your identity and task data.

1. What Information Do We Collect?

In Short: We collect personal information that you provide to us. Additionally, we record your consent to these terms via log data.

We collect personal information that you voluntarily provide to us when you register on the Services, express an interest in obtaining information about us or our products and Services, when you participate in activities on the Services, or otherwise when you contact us.

Personal Information Provided by You. The personal information that we collect depends on the context of your interactions with us and the Services, the choices you make, and the products and features you use. The personal information we collect may include the following:

  • Names

  • Phone numbers

  • Email addresses

  • Task instructions and content you provide (such as text messages, voice commands, and any details you share for task execution)

  • Any other information shared by you in the context of executing a task on your behalf

How We Collect Your Data. We collect personal information through the following methods:

  • Directly from you when you register for an account, submit tasks, or communicate with us via the App, WhatsApp, voice calls, or our website

  • Automatically through usage logs and interaction data when you use our Services

  • Through third-party payment processors (Razorpay) when you make payments

Sensitive Information. We do not process sensitive information. However, subject to request from customer and with their explicit consent, we may store and process sensitive information required for delivery of service. We will always obtain your explicit permission before processing any sensitive information.

Payment Data. We may collect data necessary to process your payment if you choose to make purchases, such as your payment instrument number, and the security code associated with your payment instrument. All payment data is handled and stored by Razorpay. You may find their privacy notice here.

All personal information that you provide to us must be true, complete, and accurate, and you must notify us of any changes to such personal information.

2. How Do We Process Your Information?

In Short: We process your information to provide, improve, and administer our Services, communicate with you, for security and fraud prevention, and to comply with law. We may also process your information for other purposes with your consent.

We process your personal information for a variety of reasons, depending on how you interact with our Services, including:

  • To facilitate account creation and authentication and otherwise manage user accounts. We may process your information so you can create and log in to your account, as well as keep your account in working order.

  • To deliver and facilitate delivery of services to the user. We may process your information to provide you with the requested service or execute the assigned task on your behalf. This includes sending relevant task data to third-party AI service providers to process and complete your requests (see section 4 for details).

  • To respond to user inquiries/offer support to users. We may process your information to respond to your inquiries and solve any potential issues you might have with the requested service.

  • To send administrative information to you. We may process your information to send you details about our products and services, changes to our terms and policies, and other similar information.

  • To fulfill and manage your orders. We may process your information to fulfill and manage your orders, payments, returns, and exchanges made through the Services.

  • To request feedback. We may process your information when necessary to request feedback and to contact you about your use of our Services.

  • To send you marketing and promotional communications. We may process the personal information you send to us for our marketing purposes, if this is in accordance with your marketing preferences.   • Your name and contact details, only when necessary to complete a task (e.g., making a reservation on your behalf)

What data is NOT shared with third parties:

  • Payment information (handled exclusively by Razorpay)

  • Data unrelated to the specific task being performed

How we protect your data when sharing:

  • We share data strictly on a need-to-know basis — only the minimum information required for a specific task

  • We require all third-party providers to maintain appropriate data protection standards

  • Data sharing for any task ceases immediately upon your request

4. Do We Offer Artificial Intelligence-Based Products?

In Short: We offer products, features, or tools powered by artificial intelligence, machine learning, or similar technologies. Your data may be shared with third-party AI providers only with your consent and on a need-to-know basis.

As part of our Services, we offer products, features, or tools powered by artificial intelligence, machine learning, or similar technologies (collectively, "AI Products"). These tools are designed to enhance your experience and provide you with innovative solutions. The terms in this privacy notice govern your use of the AI Products within our Services.

Use of AI Technologies

We provide the AI Products through multiple third-party service providers ("AI Service Providers"). We may use one or more of the following AI Service Providers to process your tasks, depending on the nature of the task and the best available model for its completion:

We select the most appropriate AI model(s) for each task on a best-effort basis. The selection is based on the nature of the task and the capabilities of each provider.

What Data Is Sent to AI Service Providers:

  • Your task instructions and related content (e.g., the text of your request, details you provide for task completion)

  • Conversation context relevant to your task

  • Your name or contact information only when it is essential for the AI to complete the task (e.g., drafting an email on your behalf)

We do NOT send the following to AI Service Providers:

  • Your payment information

  • Your login credentials

  • Data unrelated to the specific task being performed

Your Consent and Permission

By using our Services and submitting tasks, you consent to the sharing of your task-related data with the AI Service Providers listed above for the purpose of completing your requested tasks. Before your data is shared with any third-party AI service for the first time, the App will present you with a clear disclosure and ask for your explicit consent.

You have the right to:

  • Withdraw your consent at any time by contacting us at hello@robinhome.ai

  • Request that we stop sharing your data with AI Service Providers immediately

  • Request information about which AI providers processed your data

Please note that if you withdraw consent for AI data sharing, we may not be able to provide our personal assistant services, as they rely on AI processing to function.

Data Protection by AI Service Providers

We require that all AI Service Providers with whom we share your data provide the same or equivalent level of protection for your personal information as described in this privacy policy. Our agreements with these providers include provisions for:

  • Data security and confidentiality

  • Restrictions on use of your data beyond the purposes we specify

  • Data deletion upon our request

Our AI Products

Our AI Products are designed for the following functions:

  • Personal task execution and management

  • Natural language understanding and response generation

  • Task automation and assistance

How We Process Your Data Using AI

All personal information processed using our AI Products is handled in line with our privacy notice and our agreements with third-party providers. Data is shared on a strict need-to-know basis — only the minimum information necessary to complete your specific task is transmitted to AI Service Providers. How to Opt Out

We believe in giving you the power to decide how your data is used. To opt out of AI data sharing, you can:

  • Contact us at hello@robinhome.ai with your desire to opt out

  • Use the opt-out option within the App settings

  • Data sharing with AI providers will stop immediately upon your request

Please note that we may not be able to offer our personal assistant services if you opt out, as these services rely on AI processing.

5. How Long Do We Keep Your Information?

In Short: We keep your information for as long as necessary to fulfill the purposes outlined in this privacy notice unless otherwise required by law.

We will only keep your personal information for as long as it is necessary for the purposes set out in this privacy notice, unless a longer retention period is required or permitted by law (such as tax, accounting, or other legal requirements). No purpose in this notice will require us keeping your personal information for longer than the period of time in which users have an account with us.

When we have no ongoing legitimate business need to process your personal information, we will either delete or anonymize such information, or, if this is not possible (for example, because your personal information has been stored in backup archives), then we will securely store your personal information and isolate it from any further processing until deletion is possible.

6. How Do We Keep Your Information Safe?

In Short: We aim to protect your personal information through a system of organizational and technical security measures.

We have implemented appropriate and reasonable technical and organizational security measures designed to protect the security of any personal information we process. However, despite our safeguards and efforts to secure your information, no electronic transmission over the Internet or information storage technology can be guaranteed to be 100% secure, so we cannot promise or guarantee that hackers, cybercriminals, or other unauthorized third parties will not be able to defeat our security and improperly collect, access, steal, or modify your information. Although we will do our best to protect your personal information, transmission of personal information to and from our Services is at your own risk. You should only access the Services within a secure environment.

7. Do We Collect Information from Minors?

In Short: We do not knowingly collect data from or market to children under 18 years of age.

We do not knowingly collect, solicit data from, or market to children under 18 years of age, nor do we knowingly sell such personal information. By using the Services, you represent that you are at least 18 or that you are the parent or guardian of such a minor and consent to such minor dependent's use of the Services. If we learn that personal information from users less than 18 years of age has been collected, we will deactivate the account and take reasonable measures to promptly delete such data from our records. 8. Controls for Do-Not-Track Features

Most web browsers and some mobile operating systems and mobile applications include a Do-Not-Track ("DNT") feature or setting you can activate to signal your privacy preference not to have data about your online browsing activities monitored and collected. At this stage, no uniform technology standard for recognizing and implementing DNT signals has been finalized. As such, we do not currently respond to DNT browser signals or any other mechanism that automatically communicates your choice not to be tracked online. If a standard for online tracking is adopted that we must follow in the future, we will inform you about that practice in a revised version of this privacy notice.

9. Do We Make Updates to This Notice?

In Short: Yes, we will update this notice as necessary to stay compliant with relevant laws.

We may update this privacy notice from time to time. The updated version will be indicated by an updated "Revised" date at the top of this privacy notice. Based on the applicable laws of your country, you may have the right to request access to the personal information we collect from you, details about how we have processed it, correct inaccuracies, or delete your personal information. You may also have the right to withdraw your consent to our processing of your personal information. These rights may be limited in some circumstances by applicable law. To request to review, update, or delete your personal information, please submit a data subject access request.

12. Account Deletion and Data Removal

You have the right to delete your account and request removal of your personal data at any time. To delete your account:

  • Use the account deletion option available within the App

  • Contact us at robin@hirobin.ai with your request

Upon receiving your deletion request, we will:

  • Delete your account and all associated personal information

  • Remove all mappings that exist between your identity and task data

  • Instruct our third-party AI Service Providers to delete any of your data they may have retained

  • Complete the deletion process within 30 days of your request

Please note that certain data may be retained as required by applicable law (such as tax or accounting requirements), but such data will be isolated from further processing.
